Contracting entity: Strawberry Hill Holdings Pty Ltd ABN 18 615 697 900
Property: Bullo River Station, Baines, Northern Territory 0852
1.1 These terms and conditions, together with your booking confirmation, invoice and any written special conditions provided to you, form the agreement between you and Strawberry Hill Holdings, trading as Bullo River Station, referred to in these conditions as “Bullo River Station”, “we”, “us” or “our”.
1.2 “You” and “your” mean the lead guest or booking party and each person for whom the booking is made. The lead guest is responsible for ensuring that every member of the booking party is aware of and complies with these conditions.
1.3 If a package, promotion, event or exclusive-use agreement has additional written conditions, those conditions will apply to the extent of any inconsistency with these general conditions.
2.1 All accommodation, transfers and experiences are subject to availability and remain on request until confirmed by Bullo River Station in writing.
2.2 Unless alternative conditions are stated in your booking confirmation, a 15% non-refundable deposit is payable immediately to secure the requested dates.
2.3 A binding booking is formed only when:
we have received the required deposit or full payment; and
Bullo River Station has issued written confirmation.
2.4 Before written confirmation is issued, we may withdraw, change or reallocate the requested accommodation or dates.
2.5 Rates are quoted in Australian dollars and include GST unless expressly stated otherwise. Any agent commission must be agreed in writing.
3.1 Unless exclusive-use or other special conditions apply, the remaining balance, including confirmed accommodation, pre-booked helicopter experiences and transfers, must be received 30 days before arrival.
3.2 If a booking is made within 30 days of arrival, full payment is required at the time of booking, unless a different deadline is shown on the booking confirmation.
3.3 If payment is not received by its due date, we may treat the booking as cancelled and apply the applicable cancellation conditions.
3.4 You authorise us to charge the card provided for:
agreed accommodation, transfers and experiences;
applicable cancellation or no-show charges;
additional services purchased during the stay; and
loss, damage or exceptional cleaning costs properly attributable to you or your party.
4.1 Requests to change names, dates, accommodation, transfers, experiences or guest numbers must be made in writing.
4.2 Amendments are subject to availability and Bullo River Station’s operational capacity. A change may result in a revised rate or additional third-party charges.
4.3 A requested change is not confirmed until accepted by us in writing.
4.4 Where a change cannot be accommodated, the request may be treated as a cancellation and the applicable cancellation conditions will apply.
5.1 All cancellations must be submitted in writing to stay@bulloriver.com.au.
5.2 Unless different conditions are stated in the booking confirmation:
the 15% deposit is non-refundable;
the balance is payable 30 days before arrival; and
no refund will be provided for a cancellation made after the full balance becomes payable, a no-show, an early departure or an unused component of the booking.
5.3 No refund or credit will be provided for services not used because of:
a change of mind;
a guest’s late arrival or failure to arrive;
airline or charter delays or cancellations;
a failure to arrange suitable transport;
road conditions or closures outside Bullo River Station’s reasonable control; or
other circumstances outside our reasonable control.
5.4 Where a supplier imposes a cancellation or amendment charge for a helicopter flight, charter, transfer or other third-party service, that charge may be passed on to the booking party.
6.1 Bullo River Station operates in a remote environment. Activities, itineraries, access arrangements and transfers may be changed, postponed or cancelled because of weather, road conditions, water levels, safety considerations, cattle-station operations, aircraft availability or other operational requirements.
6.2 We will make reasonable efforts to provide a suitable alternative where this is operationally possible. However, a particular activity, itinerary, wildlife encounter, cattle activity, guide or experience is not guaranteed.
6.3 Where Bullo River Station cancels the entire accommodation booking for reasons within its reasonable control, you may elect to:
transfer amounts paid to an agreed alternative date; or
receive a refund of amounts paid directly to Bullo River Station for the cancelled services.
6.4 We are not responsible for incidental or consequential expenses, including airfares, visas, insurance excesses, alternative accommodation or other arrangements, except where liability cannot lawfully be excluded.
7.1 We strongly recommend that every guest obtain comprehensive travel insurance at the time of booking.
7.2 Insurance should, where available and suitable to the guest, cover:
cancellation and amendment costs;
illness, injury and medical evacuation;
airline and charter disruption;
road closures and severe weather;
delayed or lost baggage;
additional accommodation and transport expenses; and
activities planned during the stay.
8.1 A booking will be treated as an exclusive-use or group booking where it is expressly described as such in the quotation or written confirmation.
8.2 The confirmed accommodation inventory will be reserved solely for the group for the agreed dates, subject to the written agreement.
8.3 Unless otherwise agreed in writing, the minimum exclusive-use commitment is:
12 guests; or
the equivalent minimum gross package value of $25,200. If fewer than 12 guests travel, the booking party remains responsible for the agreed minimum package value.
8.4 A 15% non-refundable deposit, calculated on the full agreed exclusive-use package value rather than the number of guests initially confirmed, is required to secure the booking.
8.5 The booking party or agent is responsible for:
filling the accommodation included in the agreed package;
managing participating guest enquiries and reservations;
collecting payments from individual guests;
ensuring the minimum package value is met;
accurately communicating inclusions, exclusions and extra costs; and
acting as the primary commercial and operational contact for the group.
8.6 The following must be provided no later than 60 days before arrival:
completed requested Guest Pre-arrival information;
final guest numbers and full names;
rooming arrangements and configurations;
arrival and departure details;
dietary requirements, allergies and intolerances;
relevant medical or mobility information;
emergency contacts; and
activity interests and special occasions.
8.7 The booking party must obtain each guest’s consent before supplying personal, dietary, medical or mobility information and must transmit that information securely.
8.8 A reduction in guest numbers does not reduce the agreed minimum package value. Name or rooming changes submitted after the 30-day deadline are subject to availability and operational feasibility.
8.9 Bullo River Station will issue the final invoice approximately 30 days before arrival. Full payment must be received no later than 30 days before arrival. The invoice may include:
the full agreed package value;
confirmed transfers, helicopter experiences and other services;
the deposit already paid;
agreed commission; and
approved adjustments.
8.10 Any applicable commission must be agreed in writing. Commission applies only to items expressly identified as commissionable.
8.11 Requests affecting price, accommodation allocation, activities, transfers, staffing or other operational arrangements must be approved by Bullo River Station before being confirmed to a guest.
8.12 Exclusive Use Group cancellation schedule,
More than 150 days before arrival: the 15% deposit is forfeited.
150 to 61 days before arrival: 50% of the agreed package value is payable.
60 days or fewer before arrival: 100% of the agreed package value is payable.
9.1 Guests must disclose dietary requirements, food allergies, relevant medical conditions, mobility considerations and arrival and departure details sufficiently in advance.
9.2 We will make reasonable efforts to accommodate dietary and accessibility requests, but cannot guarantee every request, particularly where specialist products, equipment or staffing are required at short notice.
9.3 Guests remain responsible for carrying required medication and obtaining appropriate medical and travel advice before travelling to this remote location.
10.1 Bullo River Station is a remote working cattle station. Guests must follow all reasonable safety directions, signage and instructions from staff and guides.
10.2 Guests must not drive around the property independently. When leaving the Homestead, guests must be accompanied by an authorised guide unless otherwise directed.
10.3 Self-driving guests must use a suitable four-wheel-drive vehicle and follow the supplied access instructions. Road conditions are unsealed and variable, mobile coverage is unavailable for much of the journey, and wet-season conditions may make the road impassable.
10.4 Road, helicopter and charter transfers are subject to availability, weather, aircraft limitations and supplier conditions. Self-drive and private-charter arrangements remain the responsibility of the guest or agent unless expressly included in the booking.
11.1 Activities on a remote cattle station and in natural environments involve inherent risks.
11.2 Every guest must complete the required guest waiver before participating in activities. A parent or legal guardian must complete the waiver for a guest under 18.
11.3 Guests must comply with guide instructions and may be excluded from an activity where participation would create an unreasonable safety risk.
11.4 Land and water-based guided experiences included in the applicable rate are subject to conditions and operational requirements. Helicopter experiences are an additional cost unless expressly included.
12.1 Guests must behave responsibly and respect staff, other guests, wildlife, livestock, cultural sites, buildings, vehicles and equipment.
12.2 We may refuse participation in an activity or require a guest to leave where their conduct presents a safety risk, involves serious misconduct or materially disrupts other guests.
12.3 No refund will be payable where a guest is removed because of their own serious misconduct or breach of these conditions, subject to applicable law.
12.4 Bullo River Station is non-smoking inside guest rooms, vehicles and designated communal areas.
12.5 Drones must not be flown on the property because helicopters and aircraft operate in the area. Pets are not permitted, except qualified assistance animals arranged with us in advance.
13.1 Standard check-in is 3:00 pm and check-out is 11:00 am, unless different arrangements are confirmed in writing.
13.2 Flexibility may be available, but must be requested and confirmed in advance.
13.3 We may store luggage for a later departure, subject to operational arrangements.
14.1 Personal information supplied in connection with a booking will be collected, used, stored and disclosed for purposes including reservation management, payment, guest safety, dietary and medical planning, personalised itineraries and delivery of the booked services.
14.2 Health and dietary details may constitute sensitive information and will be handled only for legitimate guest-service and safety purposes, in accordance with our privacy policy and applicable law.
14.3 Agents and group organisers must ensure that they are authorised to provide guest information to Bullo River Station.
15.1 Nothing in these conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.
15.2 To the maximum extent permitted by law, Bullo River Station is not liable for indirect or consequential loss arising from the booking or stay.
15.3 Nothing in these conditions limits liability where limitation or exclusion is prohibited by law, including liability arising from fraud, wilful misconduct or a failure to comply with a non-excludable statutory obligation.
16.1 Neither party will be liable for a failure or delay caused by an event beyond its reasonable control, including severe weather, flood, fire, epidemic, government action, road closure, aircraft unavailability, interruption to essential supplies or services, civil disturbance or natural disaster.
16.2 If such an event makes the stay unsafe, unlawful or operationally impracticable, Bullo River Station may change, postpone or cancel the affected services.
16.3 Any refund, credit or alternative date will be determined having regard to amounts recoverable from third-party suppliers and the rights that cannot be excluded under applicable law.
17.1 If any provision is invalid or unenforceable, it will be severed and the remaining provisions will continue to operate.
17.2 A failure or delay in enforcing a right does not waive that right.
17.3 These conditions are governed by the laws of the Northern Territory, Australia, and the parties submit to the courts having jurisdiction there, subject to any legal rights concerning venue that cannot be excluded.
17.4 These conditions may be updated from time to time. The version supplied with or linked to the confirmed booking will apply, together with any later amendment agreed in writing.
